Libryo gives you the ability to set recurring tasks, which are essential for managing ongoing responsibilities such as license renewals, permits, and other compliance requirements that come with specific expiration dates and need to be renewed periodically. By automating these tasks, you can ensure timely action, proactive compliance management, and consistent oversight of critical deadlines - all while saving setup time.
In addition, you can configure task reminders so that assignees and stakeholders receive notifications ahead of due dates or when a task becomes overdue. This ensures nothing slips through the cracks and the right people are always alerted at the right time.
To get started with setting up a recurring task, follow the step-by-step guide below.
Creating a Recurring Task
1. Select the specific type of Recurring Task you wish to create, which corresponds to the module in which you create the task:
- Legislation Task (to be created within the Requirements or Actions module)
- Update Task (to be created within the Update module)
- File Task (to be created within the Drives module)
- Generic Task (to be created within the Task Manager module)
3. Click on "Create Task"
When you select Recurring Task, the following options will appear. Follow these steps:

Add a Title

Enter a clear and descriptive name for your recurring task.

Select the Task Type

Choose Recurring Task.

Set a Due Date
-
Select the first due date for the task.

Define Task Duration
-
Enter how long each instance of the task will take and select the time unit (e.g., days).

Add a Start Date
-
Choose when the recurring task should begin.

Define Recurrence End
-
Choose one of the following:
-
On a specific date → set the end date.
-
After a set number of recurrences → specify how many times the task should repeat.

Set Recurrence Frequency

In “Task is due every”, enter how often the task should repeat (e.g., every 7 days, every 1 month).

Set Priority
-
Choose the importance level (Very Low, Low, Medium, High, Very High).

Set Impact
-
Define the potential impact (1 - Low to 10 - High).

Select an Action Area

Choose the relevant action area (e.g., Appointments relating to flammable substances).

Write a Description
-
Provide clear details or instructions for the recurring task.

Add Attachments (Optional)

Upload files from a Drive folder if needed.

Create Copies (Optional)
-
Select this option if you want to create copies across all Streams® with this Requirement and where you have access.

Configure Task Reminders (Optional)

Set reminders to notify assignees before the due date.

4. Click on "Save" and if you want to edit the information of the task click on "Save & Edit".
Viewing Recurring Tasks in Task Detail
After you create a Recurring Task and choose "Save & Edit," you will be directed to the Task Detail page. This page provides a comprehensive overview of the parent recurring task, allowing you to review and modify the task’s information as needed.
On this page, a new tab called Related Tasks will appear. This tab shows all of the individual tasks that have been generated from the recurrence.

Each recurrence is created as a separate task, not grouped into one.

The Related Tasks tab lists all of these tasks, with their own due dates.
3. Manage each task independently

You can open, update, and complete each task on its own, while still keeping them linked to the original recurrence.
The recurring task will carry over the same details, such as “Assigned To,” so that an email notification is automatically sent when each new task is created.
As the due date approaches, and if the task becomes overdue, the Libryo Platform will generate alerts and notifications for the relevant user(s). These alerts are delivered both by email and as in-app notifications.
Note: Overdue email notifications are sent at 8:00 a.m. in the user’s local timezone.
5. If you need to make changes to the recurrence pattern or if you want to stop a recurring task, you can do so by editing the task and adjusting the recurrence settings.
This guide allows you to create recurring tasks in any module of the platform, making it adaptable for various types of tasks and legal requirements.
How to Configure Task Reminders for a Recurring Task

Click “Configure Task Reminders”

When creating a recurring task, scroll down and select Configure Task Reminders.

The Create Reminder Set window will open.

Add a Reminder Name

Give the reminder set a clear name so you can identify it later.

Set Reminder Timing

Define when the reminder should be sent by entering:

Quantity (e.g., 2)

Unit (e.g., Days, Weeks)
-
Reference Point (e.g., Before Due Date, After Start Date).

Choose Who Should Get Reminded

Select one or more options:

Me
-
Assignee
-
Watchers
-
Creator
-

Add to Reminder Set
-
Click Add to Reminder Set to include this reminder in the list.

You can add multiple reminders if needed.

Save the Reminder Set

Once all reminders are configured, click Save Reminder Set.

The reminders will now be linked to your recurring task.

How to Create a Task Reminder Default
Note: Only Admin users can create Task Reminder Defaults. Once configured, these reminders are applied to every new task.
Task Reminder Defaults allow Admins to automatically apply reminder rules to all tasks within selected projects and streams. This ensures consistency and helps teams stay on track with important deadlines.
Follow these steps to create a default reminder:
- In Org Settings → Configuration, click + New Default Reminders.
- A new pop-up window will appear, allowing you to set up all the details for your default reminder.
- Name the reminder
Enter a clear, descriptive title in the Reminder Name field. - Set the timing
Define when the reminder should be sent by specifying:
- Quantity (e.g., 1)
- Unit (Day, Week, Month)
- Reference Point (e.g., Before Start Date, Before Due Date).
- Select recipients
Choose who should receive the reminder. You can select one or more of the following:
- Assignee
- Creator
- Followers
- Me
- Adjust permissions (optional)
Check the box to allow users to remove the reminder during task creation if you want to provide flexibility. - Apply to projects and streams
Use the dropdown menus to specify the Applicable Projects and Applicable Streams where this default should be enforced. - Save the reminder default
Click Save Reminder Default to finalize.
The reminder will now be automatically applied to all tasks within the selected scope.
