The Libryo Applicability module is designed to ensure that you can access the regulations that apply to your business, while avoiding the burden of irrelevant regulations. By collaborating with you in this module, we identify the specific legal requirements for your site, considering the geographical boundaries of each of your Libryo Streams. Through a simple process of answering categorized yes or no questions about your operations, we refine your legal framework, delivering only what is applicable to you. This user guide will walk you through the seamless process of using the Applicability module, helping to determine the regulations that are relevant to your business.

How to Answer Applicability Questions

Focus only on the regulations that matter to your business, without wasting any time with irrelevant ones. To ensure that you have the most accurate legal register, start by answering all sections of the 'Economic Activities*' category, as answering this will help filter out the most irrelevant laws from your register. Let's begin!

  1. On the menu on the left, go to the Applicability module.

  2. In the Applicability module, you will find a list of questions. Choose the question you want to answer and simply mark "Yes" or "No". The standard answer will be "Unanswered"

  3. If you require more information about a particular question, click on the question itself. This action will open a new page displaying comprehensive details about the Applicability Question.

    This includes: 
    1. Current Answer: This indicates the current response to the question, which can be "Yes," "No," or "Unanswered."
    2. Last Answered: The date and the person who last answered the question will be shown here.
    3. Requirements: All the requirements linked to this question will be listed.
    4. Assessment Items: This section displays all the assessment items associated with the question.
    5. Activities: You can review the chronological sequence of activities related to this applicability question. It includes the answers provided, dates of response, the individuals who answered, and any modifications made.
    6. Tasks: If necessary, you have the option to create a task related to this applicability question. This allows you to take action as needed.
    7. Comments: You can leave comments pertaining to this applicability question and tag colleagues who need to be informed.
Note: If you answer "Yes" to an Applicability Question for a Libryo Stream, the Requirements and Assessment Items linked to that question will be included in the Libryo Stream. Conversely, if you answer "No" to an Applicability Question for a Libryo Stream, the Requirements and Assessment Items linked to that question may be excluded from the Libryo Stream.

How to Filter Applicability Questions

Easily refine your Applicability Questions with smart filtering and streamline your process for enhanced efficiency. To ensure the most efficient process possible, start by filtering by the 'Economic Activities*' category first, as answering all the sections of this category will help filter out the most irrelevant laws from your register. Let's get started!

  1. On the menu on the left, go to the Applicability module.

  2. To filter by Categories, check the "Categories" checkbox.

  3. On the left side of the screen, a list of categories will appear. Select the desired categories to filter your Applicability Questions search. Note that you can select multiple categories as needed.

  4. If needed, click on the "+" symbol to expand subcategories within the selected category.

  5. Click on "Apply Filters" to apply the selected category filters.

  7. To remove all filters and show all Applicability Questions again, click on "Reset Filters."How To Filter 7

  8. To filter by Answer, check the "Answer" checkbox.

  9. Choose the desired answer option(s) to filter by, such as "Yes", "No", or "Unanswered". Note that you can select more than one answer option if necessary.

  10. Click on "Apply Filters" to apply the selected answer filters.

  11. Only the Applicability Questions that match the selected filters will be displayed.

Note: You can choose to filter by both Category and Answer simultaneously for more specific filtering. However, it is recommended to start with the "Economic Activities" category for a more targeted outcome.

How to Bulk Answer Applicability Questions

By following these steps, you can efficiently manage and respond to multiple Applicability Questions at the same time, saving you valuable time and effort.

  1. On the menu on the left, go to the Applicability module.

  2. Select all the questions you want to bulk answer by checking the checkboxes beside each question.

  3. Click on the down arrow located at the top left corner of the list to open the drop-down menu.

  4. From the drop-down menu, choose either "Bulk Answer Yes" or "Bulk Answer No," depending on the response you want to apply to the selected questions.

  5. The selected questions will be answered according to the option you've chosen in the bulk answer action.

  6. To quickly select all the questions at once, use the checkbox located above all the others to select all items, and then perform the bulk answer action.

How to Answer Applicability Questions in Multi-Stream Mode

In single stream mode, we identify specific legal requirements for your site, considering the geographical boundaries of each Libryo Stream. However, you also have the option to answer applicability questions in multi-stream mode, allowing you to address questions for all your organisation's sites simultaneously. Follow these simple steps to use this feature:

1. In the top left corner of your screen, click on the down arrow and select "Activate Multi-Stream Mode" from the drop-down list.

3.  Click on the question you want to answer.

4. Provide "Yes" or "No" responses for the required Libryo Streams.

5. For bulk answering multiple streams simultaneously, click on the checkbox next to each stream you need to answer.

6. Click on the down arrow at the top left corner of the list of streams and choose "Answer as Yes" or "Answer as No" from the drop-down menu that appears.

7. All selected streams will be answered with the chosen option.

8. To apply the same answer across all your organization's streams, access the main menu of the Applicability module. Mark the checkbox beside each question you want to answer.

9. Click on the down arrow at the top left corner of the list of questions and select "Bulk Answer Yes" or "Bulk Answer No" from the drop-down menu.

10. All the chosen questions will be answered accordingly for all streams of your organization.

11. To quickly select all the questions across all streams at once, use the checkbox located above all the others to select all items, and then perform the bulk answer action.

How to Search for an Applicability Question

With this word search feature, you can quickly find the relevant Applicability Questions that match your specific keyword, making it easier to locate the information you need efficiently.

  1. On the menu on the left, go to the Applicability module.

  2. To search for specific Applicability questions, simply type the keyword or word by which you want to perform the search in the provided search bar.

  3. As you type, the system will automatically filter and display only the questions containing the exact word you have searched for.

How to Edit Applicability Questions Offline in Excel

You can conveniently modify your Applicability Questions offline using the familiar Excel interface. Enjoy the freedom to work at your own pace and effortlessly sync the updates back into your online Applicability Module whenever you're ready. Simplify your workflow and take complete control of your Applicability Module experience with ease. Let's explore how to get started:

  1. On the menu on the left, go to the Applicability module.

  2. At the top right corner of your screen, click on "Edit Offline in Excel." An email will be sent to you, containing the Context Brief.

  3. Download the Context Brief from the email and make the necessary edits offline in Excel.

  4. Once you've completed the updates, save the edited Context Brief.
  5. To apply the changes to your online Applicability Module, follow the steps outlined in the section below on "How to Upload an Excel File to the Applicability Module."

How to Upload an Excel File to the Applicability Module

If you already have a Context Brief with answered questions, this simple process allows you to easily transfer those responses to your online Applicability Module. Eliminate the need to repeat answers you've already provided in the Context Brief, and have the added convenience of making swift modifications to any response whenever required. Follow these steps to upload your Context Brief:

  1. On the menu on the left, go to the Applicability module.

  2. At the top right corner of your screen, click on "Upload Excel File". Select the Excel file containing the Context Brief and the corresponding answers you want to record in the Applicability module.

  3. Once the file is uploaded, the system will automatically process the data, and your answers will be recorded in the Applicability module.
