# User Roles and Access FAQs

## Find quick answers to the most common questions about the Libryo Assess user roles and access capabilities.

### **What user roles are available in Assess?**

- **Admin:** full access. Admins manage the platform, entities, portfolios, assessments and user access.
- **Member:** performs assessments, records observations, uploads documents and manages action items within the entities and portfolios they are assigned.
- **Contributor:** adds files and photos to assessments, without broader editing or management rights.
- **Certifier:** has read-only and commenting access to review completed assessments and provide certification and verification comments.

### **Which role do I need to submit evidence?**

Admins, Members and Contributors can upload files and photos at assessment level. Uploading at entity or organisation level is for Admins only. Certifiers cannot upload evidence.

### **Which role do I need to access Action Items?**

Admins can create, edit and delete action items at organisation, entity and assessment question level. Organisation and entity level action items are for Admins only. At assessment question level, Admins and Members can create action items, Admins, Members, Contributors and Certifiers can edit them, and only Admins can delete them.

### **What will I see on my Dashboard?**

The Dashboard shows the entities and assessments you have access to. Admins see everything in the organisation, while Members and Certifiers see the entities and portfolios they have been given access to. Some menu options may be hidden depending on your role.

### **How do I request access for myself or a colleague?**

Access requests need approval before they are granted. Contact your ERM project manager or Organisational Admin and tell them which organisation, which portfolios, sites or entities, and which role is needed. ### **Can my role be changed?**

Yes, but role changes need approval from your ERM project manager or Organisational Admin. Once approved, an Admin can update the role under **Manage**.

### **Can contractors or auditors be given limited access?**

Yes. The Contributor role suits field personnel and contractors who provide supporting evidence, and the Certifier role suits auditors and external reviewers. Certifiers, like Members, can be limited to the specific entities and portfolios they are given access to.

### **Why can't I see a site or entity that should be in my portfolio?**

- Search for the site by name to confirm it exists.
- Check whether you have access to the portfolio the site sits within, or only to individual entities.
- If the site was created recently, access may not have been granted yet.
- Contact your ERM project manager or Organisational Admin to request access. If you have an inspection or audit coming up, mention the date so they know how time-sensitive it is.
