Manage an Assessment

Explore how to manage an Assessment.

Assessments are where compliance and audit work actually happens in ERM Libryo Assess: creating them, grouping them, tracking their status, and getting data out for reporting. What you can do with an assessment depends on your user role. Where a feature is limited to specific roles, this article calls it out under a "Who can do this" note. Create an assessment

Who can do this: Admin, Member

1. On the Dashboard, navigate to the Assessments tab in the top-right of the screen.

2. Click + New Assessment.

3. Enter a name for your assessment and choose the appropriate Assessment Protocol. If you're unsure which protocol to use, contact your administrator for guidance.

4. Click Create Assessment to save your work.

Group your assessments

Who can do this: Admin, Member

Grouping assessments gives you a more personalised way to organise assessments against your specific audit protocols.

Important note:

A group can have many assessments attached to it.

An assessment can only belong to one group.

When creating a new assessment, add it to an existing Assessment Group, or create a new one, directly from the assessment creation screen.

Alternatively, create a new group from the Assessment Group page, found on the Entity's Assessment List.

Assessment teams

Who can do this: Admin 

Assessment teams let you define and manage the collaborators involved in a given assessment. You can view and manage the team directly within the assessment.

1. To view the team, open the Name of the assessment you need.

2. To add a member, click the Assessment Team tab.

3. Click Add Member and select users from the list, then confirm. Only users who already have access to the entity can be added.

4. To remove a member, click the Delete (bin) icon next to their name and confirm.

5. You can also assign individual team members to specific questions within the assessment.

Assessment tags

Who can do this: Admin

Assessment tags help you classify and organise your assessments, making them easier to filter, report on, and manage. Tags can be added when creating or updating an assessment.

1. Click the drop-down arrow beside your user name, then select Manage.

2. Go to Assessment Tags.

3. Click + Add Tag.

4. Enter a name and choose a colour. A description is optional. Click Create to save the tag.

5. To edit an existing tag, click the Edit icon, update the details, then click Save. To delete a tag, click the Delete (Bin) icon next to it and confirm. Deleted assessment tags cannot be recovered.

Change an assessment's status

Who can do this: Admin, Member (some status options are Admin only, see table below)

1. Navigate to the Assessment tab in the top-right of the screen and select the Name of the desired assessment from the list.

2. Once inside the assessment, click the Settings icon at the top right, just below your name, to expand the menu.

3. Click Manage Assessment.

4. From the available toggles, select the most appropriate status for the assessment.

Status options

Mark as Done

Moves the assessment from In Progress to Done once all required work is complete.

Admin, Member

Mark as Inapplicable

Marks the assessment as not applicable, removing it from active workflows.

Assessment Confidential

Hides the assessment from Members, Contributors, and Certifiers who aren't on the assessment team.

Admin only

Archive Assessment

Hides the assessment from Members, Contributors, and Certifiers, and restricts further access.

View-Only (Lock)

Locks the assessment to prevent any further edits.

💡Quick tip

If you only need to move an assessment from In Progress to Done, you don't need the full Manage Assessment panel: just select the checkbox next to Mark As Done on the Assessment Summary page.

Every status change is logged at the bottom of the Manage Assessment panel, showing who made the change, the action taken, the from/to status, and a timestamp.

View inapplicable sections

Who can do this: Admin, Member, Certifier

Sections marked as Inapplicable are hidden from the assessment by default. To bring them back into view, for example to double-check a decision, use the View Inapplicable Sections toggle in the sidebar. This shows sections that have been marked as not applicable without changing their status.

Upload files and photos (bulk upload)

Who can do this: Admin, Member, Contributor

Use the File Library to upload files and photos, giving you a central repository for evidence and supporting documents within an assessment.

1. Navigate to the Assessments tab in the top-right of your screen and select the Name of the assessment you wish to upload files for.

2. Select File Library from the top-right menu bar.

3. Select the Upload Files button.

4. Upload your files by dragging and dropping, or click to select files. Enter a Description. Then click Upload.

The maximum file size is 15MB. Accepted file formats are: jpg, jpeg, png, gif, pdf, docx, doc, csv, xlsx, xls, xlsm, ppt, pptx, zip, mp4, and mov.

Export bulk assessment data

Who can do this: Admin (all entities and Data Link/API access); Member (accessible entities, CSV export)

The Data Export feature lets you bulk download your assessment observation data, giving you flexible access to your compliance and audit information outside the platform. You can export as a CSV file for quick, offline use, or generate a Data Link, which provides the data in JSON format for seamless integration with your organisation's Business Intelligence tools.

1. Click the drop-down arrow next to your name in the top-right corner. Select Data Export from the list.

2. In the Search Protocols bar, start typing the name of the protocol you'd like to export data for.

3. Once the protocol is selected, filter the results using your desired Date Range.

4. Search and select the specific assessments for bulk download, or Select All assessments under the protocol if needed.

5. Choose your export option: click Export to Excel (CSV) to download the data in CSV format, or click Generate Data Link to create an instant link within Assess, which can be used later for building visualisations.

Assessment history and restoring deleted assessments

Who can do this: Admin, Member (viewing history and deleting); Admin (restoring, inferred, please verify)

1. To review the full history of an assessment, navigate to the Entities tab.

2. Select the Name of the entity from the list or use the filters.

3. Scroll to the bottom of the entity to view the assessments. Find the Name of the assessment you want, and under the Actions column, click on the History icon.

Please note: If an assessment is deleted using the Delete (trash bin) icon from the Entity, it isn't gone for good, it can be restored through the Activity Log.

Saving and exiting an assessment

💡 Any changes you make within an assessment are saved automatically as you go, there is no separate step required to save your work. When you're finished, click the X icon at the top right of the page to exit.
