Manage Action Items
Learn how to create, edit and manage Action Items.
Action items are how you track corrective actions and other tasks arising from your compliance and assessment work in Libryo Assess. This article covers creating, viewing, editing, and deleting action items, along with exporting data, tracking trends, and organising action items with tags.
Action item types
Every action item is assigned one of three types:

Fixes noncompliance identified during an assessment. |

Updates audit protocols, such as citations, wording, or answer options. |
Where to find action items
The Action Items dashboard gives you a central view of all action items for your organisation. Access it by clicking Action Items in the top-right navigation bar.

- Organisation and entity level action items are created directly from this dashboard.
- Question level action items are created from within the relevant assessment.
- Customise the dashboard view using Show Column to display only the information relevant to you.
Create an action item
Who can do this: Admin (organisation and entity level); Admin, Member, Certifier (assessment question level)
1. For organisation or entity level items, go to the Action Items dashboard.

Or for question level items, open the relevant question under the Assessments tab.

2. Click + New Action if you are in Action Items or the + icon if you are in and Assessment.
3. Enter the required details and choose an Action Item Type.

4. Assign the relevant users, and add tags if needed (optional). Once you are finished, click Create to save.
5. To view an action item's full details, click the Expand button beside its title.

Edit or delete an action item
Who can do this: ⚠️Editing: not specified in source guide, please confirm. Deleting: assignor only
To edit an action item:
1. Click the Edit (pencil) icon next to the action item's title.

2. Edit the general information, attach evidence files, or add comments as needed and then click Update in the bottom-left.

To delete an action item:
1. Select Delete Action Item.

2. Confirm the deletion by clicking Delete.
💡 Good to know
Only the assignor can delete an action item. Deleting one permanently removes all of its attached evidence files, so double-check before confirming.
Comments and evidence files
- Use the Comments tab within an action item to post updates.

- Upload supporting documents under Evidence Files.

- To remove an uploaded file, click the trash bin icon next to it.

- To export your Action Items, click Export in the top-right to download an Excel file or generate a data link.

- To review your trends and insights, click the Graph icon in the top-right navigation bar.

- These charts show you the status distribution, overdue items, and trends over time for Action Items.

- Use the Filters on the dashboard to refine your results and find Action Items quicker.

- In the top-right, select Notifications Settings to manage your email notifications for action items.

Export, trends, and notifications Action item tags
Who can do this: Admin
Action item tags help you organise and categorise action items for easier filtering and tracking. They're managed centrally from Account Management, separately from the Action Items dashboard itself.
1. Click the drop-down arrow beside your user name, then select Manage.

2. Click Action Item Tags to see all existing tags.

3. Click + Add Label in the right of your screen to create a new action item tag.

4. Enter a name and choose a colour. A description is optional. Click Create to save once you are done.

5. To edit or delete an existing tag, select the pencil icon to edit or the bin icon to delete and confirm the action.

6. Tags can be assigned when creating or updating an action item. Any assigned tags will appear in the Tags column on the Action Items dashboard and can be used to filter results via Select Tags.
